Job Description:

Job Purpose: Serve as the Administrative Assistant to the President & CEO

Serve as the Executive Administrative Assistant to the President and CEO of the Will County Center for Economic Development (CED). This includes providing overall administrative support to the President & CEO including the scheduling and preparation for meetings & events, screening phone calls and other correspondence as needed, and managing information files.

Essential Duties and Responsibilities:
1. Support the planning and recording of monthly, quarterly, and ad hoc meetings, which include the following: Executive Committee, Board of Directors, Governance Committee, Will County Economic Development Foundation, Government Affairs Committee, Infrastructure Coalition, and targeted industry councils and subgroups.
2. Provide administrative support to the President & CEO and to others in the investor development and economic development divisions of the CED as assigned.
• Coordinate, schedule, and confirm conference calls, meetings and speaking engagements; make travel arrangements; record meeting minutes when requested; and send follow up information as needed.
• Answer and screen President’s telephone calls; greet and screen President’s unannounced visitors; take and deliver messages.
3. Support the CED’s communication efforts with investors and the general public, including assisting with publishing online newsletters and preparing and mailing materials.
4. Assist in the planning and implementation of events including Economic Report, Eye Opener Breakfast, Community Training seminars, the Annual Report to Investors and other events as assigned.
5. Assist in CED Investor development and retention through a variety of activities.
6. Manage office supply procurement as needed.
7. Other duties as assigned.

Job Requirements:

To perform this job successfully, an individual must be able to perform each essential duty in an organized and professional manner.

Education/Experience: High school diploma or general education degree (GED) plus four years office administration experience; or equivalent combination of education and experience. Associates degree preferred.

Writing and Language Ability:
• Ability to read and interpret documents such as procedure manuals, public policy documents and corporate reporting.
• Ability to take notes and write routine reports and correspondence.
• Ability to speak effectively before groups of investors or employees of organization.
• Ability to write copy for internal and external communications as needed.

Reasoning Ability:
• Ability to prioritize assignments to complete work in a timely manner when there are competing requirements, deadlines, and changes in workload.
• Ability to work independently and follow through on assignments with minimal direction.
• Ability to work in ambiguous circumstances and determine the best course of action to resolve problems.

Computer Skills:
To perform this job successfully, an individual should demonstrate proficiency in the use of Word, Excel, Outlook, PowerPoint, and Adobe Acrobat software and be comfortable navigating the internet. Experience in Constant Contact and with mail merge is a plus. Experience with graphic design is a plus. Must be able to type 50+ words per minute.
