1. Perform receptionist and clerical duties as needed.
2. Utilize homeless management information system to record all incoming calls for Emergency Services Program.


1. Answer all incoming phone calls and direct to the appropriate staff member and answer general questions about the services and programs of the Agency.
2. Track incoming calls for Emergency Services in Agency’s Homeless Management Information System, completing pre-screen assessments as needed, referring pre-screen forms to appropriate agency if outside of Catholic Charities service area.
3. Greet all persons visiting the office and either direct to appropriate staff person and/or answer general questions.
4. Receive, sort and route incoming United States and interoffice mail. Stamp, record and deposit all outgoing mail.
5. Complete income transmittal forms for monetary donations.
6. Record in-kind donations in donation receipt book according to Agency policy and procedures.
7. Transport mail to designated mail site.
8. Refer walk-ins seeking emergency services to appropriate program or external agency.
9. Maintain security and safety by controlling front door entry. This includes, but is not limited to, observation of visitor belongings and reporting suspicious behavior.
10. Respects and protects the confidentiality of clients and materials.
11. Personally notify any staff of client emergencies, cancellations and transfer non-counseling calls.
12. Complete walk through rounds of the building to insure office area is secure and to make sure coffee machine, copy machine, and necessary lighting is turned off after there are no remaining personnel in the building.
13. Complete monthly safety review check list for the Downers Grove office and submit to Director of Community Services.
14. Secure outside doors by checking to see that all doors are locked upon completion of work shift, as needed.
15. Perform routine clerical tasks as necessary.
16. Assist and/or support other staff/departments with special projects or tasks as requested.
17. Supervise and maintain reception area to ensure a neat, clean and quiet area.
18. Translate or arrange for translation as needed for persons requesting services.
19. Schedule reservations for conference room and other building space for both staff and visitors.
20. Manages ongoing ordering, organization and maintenance of office supplies.

Job Requirements:

1. A high school diploma or GED is required for this position. All degrees must come from a regionally accredited educational institution which has U.S. Department of Education approval.
2. A minimum of 1 to 3 years of experience with multi-line phone system is required.
3. Fluent in English.
4. Bi-lingual Spanish preferred but not required.
5. Demonstrated ability to work constructively with persons from all ethnic, economic and social background.
6. Proficiency in the use of Microsoft Office applications including Outlook, Word, Excel and Teams.
7. Strong verbal and written communications skills.
8. Passage of complete background clearance, physical and Tuberculosis (TB) Test.
9. Catholic Charities, Diocese of Joliet, has adopted and follows the Codes of Ethics established by Catholic Charities USA, the National Association of Social Workers and the American Psychological Association. As an employee of the Agency you are expected to support these codes to the extent doing so is consistent with and allowed by applicable law.
10. A valid driver’s license, reliable means of transportation and proof of liability insurance is required.
