Job Description:

We have a position available for an Executive Assistant in our Corporate Executive office.

Provide executive level administrative support to the President/CEO and the Corporate Executive team.
• Phone coverage for the Executive office
• Develop familiarity with callers and maintain fine-tuned sense of priority of callers and time sensitivity of matters, as that can change
• Transcribe audio dictation and/or handwritten rough drafts to final format for the President/CEO
• Create and edit PowerPoint presentations for the President/CEO
• Maintain daily schedules/events and update Outlook calendars
• Air/hotel/ground transportation arrangements for a busy, well-traveled President/CEO
• Travel arrangements for Vice Presidents upon request
• Coordinate hospitality responsibilities for customer/industry guests, company outings
• Coordinate corporate meetings: includes ordering food, setting up equipment for presentations, etc.
• Production and mailing of quarterly Board books
• Manage season tickets for sports teams per President/CEO’s direction
• Manage company web store for logowear/promotional items
• Order all Executive office supplies, miscellaneous items, and kitchen supplies

Job Requirements:

Position requires a minimum 2-year Associates Degree or work equivalent with minimum of 5 years of C-Suite level experience. The candidate must possess the ability to manage highly confidential information and work in a team environment. Significant working knowledge and understanding of Microsoft Office software is required: Word, PowerPoint, Outlook, and Excel. The candidate must present a professional image both within and without the organization. Thorough and competent phone coverage skills are required, and the candidate must be organized, detail-oriented, and able to prioritize multiple tasks. The position requires an ability to establish solid working relationships with Corporate Vice Presidents, General Managers, outside industry leaders and service providers.
